Role Overview:

We are looking for a highly organized, proactive, and detail-oriented Revenue Operations Assistant to support the operational flow between Account Management, Finance, Buyers, and Vendors.

This is not an accounting role. It is an administrative and operational position focused on data accuracy, invoicing workflows, payment follow-up, and process coordination.

The ideal candidate enjoys working in a fast-paced environment, feels comfortable managing deadlines, and is able to handle high-volume data extraction from platforms such as Callgrid while keeping reporting and invoicing processes organized and accurate.

Minimum requirements

Key Responsibilities:

1. Buyer Billing & Collections Support
Data Preparation:

Export buyer data from tracking platforms and format it accurately in Google Sheets according to each invoicing cycle โ€” weekly, biweekly, or monthly โ€” including manually adding buyer details when needed.

Number Confirmation:

Reach out to buyers or access buyer platforms to confirm call and lead numbers, ensuring approved figures are clearly marked and ready for invoicing.

Prepayments & Credits:

Create payment links for prepayments and maintain records of prepayments, credits, and credit notes in the master tracking sheet.

Collections Support:

Follow up with buyers regarding overdue payments and coordinate with Account Management when invoices remain unpaid beyond agreed timelines.

CRM Entry:

Add new buyers and their Client IDs into Business Central.


2. Vendor Payments & Approval

Data Preparation:

Export vendor data from Callgrid and organize it in Google Sheets according to each vendorโ€™s payment terms, such as weekly Net 7, biweekly Net 15, or monthly Net 30.

Invoice Approval:
Manage the supplier invoice approval process and proactively follow up on pending vendor invoices to help keep payment cycles running smoothly.

Payment Coordination:

Work closely with the Finance team to help ensure vendors are paid on time, resolve payment-related issues, and communicate updates back to vendors when needed.


3. Cross-Functional Coordination

Finance Liaison:

Communicate regularly with the Finance team regarding Business Central entries, invoice updates, and payment status. Provide accurate and timely information to support smooth financial operations.

Reporting Maintenance:

Maintain and update Google Sheets reporting, including invoice tracking, payment status, aging, and operational notes.

Access & Trust (Future State):

Initially, this role will have read and resend access to invoices through Business Central. Over time, and based on performance and trust, responsibilities may expand to include invoice creation and payment coordination under Finance supervision.


Required Competencies & Experience:

๐Ÿ”น Fluency in English, both written and spoken, to work with the U.S. market.

๐Ÿ”น At least 1 year administrative or operational experience.

๐Ÿ”น Strong attention to detail and accuracy.

๐Ÿ”น Comfortable working with exports from platforms such as Ringba, Callgrid, or similar ad tech / call tracking tools.

๐Ÿ”น Advanced Google Sheets skills, including formatting, manual data entry, color-coding, and multi-cycle tracking.

๐Ÿ”น Ability to manage deadlines and work efficiently across different billing and payment cycles.

๐Ÿ”น Proactive and organized working style with strong follow-up skills.

๐Ÿ”น Operational and administrative mindset, with an interest in process management, coordination, and clear documentation.


Nice to Have (Not Required for Hire โ€“ Will Be Developed):


  • Experience with EMBAT.
  • Experience with Business Central.
  • Exposure to invoicing workflows, collections support, or vendor payment coordination.
  • Potential to grow into broader invoice creation and payment execution responsibilities over time.
